Student storage options

What file storage options are available to students? 

 

There are many suitable options for storage, including OneDrive (5TB), SharePoint, (for collaborative use) (10TB) and Lecture Capture.  

My research work requires large data files, where can I store my data?

I have a lot of videos, where can I store them?  

For video storage, you can also log into Lecture Capture (see https://lecture.unimelb.edu.au). Upload directly from your Google account (after log-in). Another option is to use Kaltura Video Management accessed from inside your LMS. See https://lms.unimelb.edu.au/learning-technologies/kaltura for information how to upload video).

How much data can I save on my Google Drive 

From 2023 expected space usage for each student for email and document storage is expected to be under 5GB each. If your data exceeds 5GB, the University may contact you directly to reduce your data.

Access to student email account after graduation 

I am completing my studies this year. Can I keep access to my University email account and other University resources? 

The University provides access to some systems for up to 12 months after you complete your course. After that, your access to University systems such as your student Gmail account will be deactivated and permanently deleted at 15 months after you complete your course. We are unable to recover any data once your account has been deactivated. This includes any email forwarding arrangements set up on your University email account. 

You will be notified via email to your student Gmail account about when your account will be disabled. Notifications are sent:

  • 180 days
  • 30 days
  • 14 days and
  • 2 days before the account is disabled.  

As staff and student accounts are considered separate, staff members who have previously studied at the University will not retain access to their student account after graduation.

Before you graduate

To ensure you have continued access to your University information after graduation, remember to:

  • Download your account data: If you wish to keep a record of your emails and files hosted on your University Google account, you must download your data before your account is deactivated.
  • Link your personal email to your My eQuals account: Add your preferred personal email account to your My eQuals profile so you can continue to access your digital academic transcript, graduation certificate and other academic statements. Once your University email is deactivated, you cannot use this email address to log into My eQuals.
If you study another course at the University of Melbourne, your student account with the same credentials will be reactivated. However, as data from your prior enrolment may be reset when your account is suspended, it is important you take the above precautions to save your data.

Request an alumni email forwarding address

After you have graduated, you can request an alumni forwarding address that you can use to communicate with family, friends and peers. This is not an actual email account; it is an email forwarding mechanism that allows you to automatically direct emails to an email account of your choice.
